How do I organize a school trip?

Leading a Prometour School Trip is Easy!
First – Brainstorm your school trip!
Jot down some ideas about where and when you want to travel. Pick a destination (or several!) that excite you and align with your pedagogical objectives. Then consult our DESTINATIONS section of this web site and look through some great sample school trip itineraries for inspiration. All of these were put together by our incredible Prométour team along with passionate teachers like yourself! Need help? CONTACT US - it's what we are here for!
Contact your Personal Prometour Tour Consultant
Call us on our toll free numbers (at the top-left corner of this page) or contact us via this site, and you will be assigned your own personal Tour Consultant. Once you have been assigned a Tour Consultant, he/she will remain your personal contact from the first day of your planning until the day of your return from abroad. Prométour's Tour Consultants are passionate and proficient trip planners who want to know all your ideas and goals for your educational travel plans. Remember that our tours are customized to meet all of our Tour Leader’s needs. It’s our job to make your group travel plans as easy as possible, and to make your trip a great success!
Get authorization for your school trip!
Prométour helps hundreds of schools integrate travel into their school curriculums every year, so getting board approval should not be hard! We have created a Board Approval package to assist you, and your Tour Consultant will gladly send it to you upon request.
Promote your school trip!
Timing is everything when planning a school trip! Once you have chosen the destination and the trip that you believe in, it is time to promote the program to your school community. We recommend that you introduce the idea of traveling to your students as early as possible - even in the first or second week of the school year. (A year in advance if you already have school trip approval!) Your Prométour Tour Consultant will be happy to send you full color brochures along with color posters to help spread the word inside your school and/or community.
Meet with your students
Start a "buzz" by gathering interest from your students! Plan an after school student meeting and share your plans and ideas! Describe the school trip and provide a copy of the full color brochure. Let them know that there will be a formal parent meeting which they will also be invited to. (Send each student home with a parent meeting invitation - we can provide you one if you like.)
Hold a parent-meeting concerning your school trip
Invite all students that have shown interest and their parents. Choose a location to hold your meeting where you can distribute enrollment materials and the tour itinerary. Explain to parents the importance of school trips and answer their questions. Your Prometour Tour Consultant may also attend your parent meeting upon request. (Depending on where and when it is, of course…)
Register the participants
Registration forms are already included in your school trip brochure. Request all parents to complete the form and include the first deposit check or credit card payment form. Collect all registration forms and deposits and send them in to our head office by courier.
Keep recruiting for your education tour
Congratulations! You are on your way to a great adventure. Now is the time to keep the momentum going and increase enrolment. Promotion, promotion and more promotion - the more people that are aware of your exciting trip, the more you can achieve!
